Group Leader Guide

As a group leader, you will be accountable to issue your students with the course material. This guide will help you to ensure that you are able to issue web-books efficiently and effectively.

As a group leader, you also have the ability to create additional group leaders if required to support your back-end administration.

The web-book is a digital license they are not renewable. If a web-book is issued that license would then be removed from your tally. Please ensure that all student accounts that are being created are:

• Confirmed on the course
• Names and email addresses spelled correctly

If there are any mistakes these will not be able to be rectified within the portal and you should contact IBEX Ed in the first instance for support via email training@ibexexperts.com.

1. Group – Select the scheduled course that requires web-books issuing

2. Web-book – Check that the right web-books will be issued to your students

3. Add user – Choose either single or multiple users to issue web-books

4. Upload users – Upload students by CSV file

5. Download keys – Download all the associated license keys for the courses (if required)

6. Web-book report – View to see if a student has accessed a web-book

1. Click ‘Add User’ and then choose one user
2. Ensure the ‘Add’ and invite user radio button is selected
3. Input the user’s first/last name and email address
4. Click ‘Add User’

This will then send an automated email to the student with their username and password for their courseware.

Please make sure that these are correct before clicking add user, as this will create a user will use a web-book license.

1. Click on ‘Add User’ and then choose multiple users.
2. Input the user first/last name and email address for each student
3. Click ‘Add’ and ‘Invite Users’

This will then send an automated email to each of the students with their respective username and password for their courseware.

Please make sure that these details are all are correct before clicking add & invite users, as this will create the defined will use the associated web-book license.

1. Click on upload users
2. Download the CV template by clicking ‘Download a sample .csv file’
3. Important – change the second row of information to one of your students
4. Complete a new row for each one of your students
5. Save the file
6. Go back to the portal and click ‘Choose File’, then select the file you have just saved
7. Ensure the radio button ‘Add’ and invite users is chosen
8. Click ‘Add Users’

This will then send an automated email to each of the students with their respective username and password for their courseware.

Please make sure that these details are all are correct before clicking add & invite users, as this will create the defined will use the associated web-book license.

Unfortunately, you cannot remove a student once you have given them access to a course as this is a digital license.

Please ensure that you have the right student details prior to issuing a course to reduce the need to remove a student from the course.

If you require a student to be blocked, please inform us at training@ibexexperts.com.

Once a license has been issued to a student, the access to the web-book will be for 90 calendar days only. Please ensure that when issuing the courseware, ensure that the course will take place within the next 30 days.

Tip: to maximize the time a student has access to the courseware, issue the web-book closer to the course start date.

Additional licenses can be purchased through the courseware store.

If you would like the licenses to be added to a particular group session, please send an email to training@ibexexperts.com stating, the order number and which group you would like these licenses to be added to.

Unfortunately, you cannot give your students any extra time as the web-book license is valid for 30 days only.

It would be possible however to issue a fresh license to the student when their existing license has elapsed.
